Privacy Policy

1. Scope

CodeNile Ops AI is an internal operations platform operated by CodeNile Technologies L.L.C-FZ. It supports business workflows such as expense intake, structured extraction, human approval and auditability. This policy applies to information processed through CodeNile Ops AI and its authorized integrations.

2. Information we process

Depending on the workflow, the application may process business email metadata, email content needed to identify expense evidence, structured expense details, provider identifiers, integrity hashes, approval events, timestamps and technical logs necessary to operate and secure the service.

3. Google user data

When an authorized user connects a Google account, CodeNile Ops AI may request read-only Gmail access. The purpose of this access is to locate and process business expense evidence for the internal expense workflow.

CodeNile Ops AI does not require Gmail permission to send, delete or modify messages for this workflow. Raw Gmail message bodies are not persisted in the primary expense database; the system may instead retain structured expense records, source metadata, integrity hashes and evidence references needed for auditability and reconciliation.

4. How we use information

Information is used to identify business expense evidence, create structured candidates for human review, route approval requests, create approved operational records, prevent duplicate processing, investigate workflow errors and protect CodeNile systems.

Google user data is not sold, used for targeted advertising, or used to train general-purpose artificial intelligence models.

5. Sharing and service providers

We do not sell Google user data or business email data. Information may be available to authorized CodeNile personnel who need it for the relevant workflow and to contracted infrastructure or service providers where necessary to operate the service under appropriate confidentiality and security obligations.

6. Retention and security

Operational records are retained only for as long as reasonably necessary for accounting, audit, security, legal and legitimate business purposes. CodeNile applies technical and organizational safeguards intended to protect information from unauthorized access, alteration, disclosure or destruction.

7. Your controls

A Google account holder can revoke CodeNile Ops AI's access through their Google Account security and connected-app settings. Revoking access prevents future API access but may not automatically remove records that CodeNile is required or permitted to retain for accounting, audit, security or legal purposes.

8. Changes

We may update this Privacy Policy as CodeNile Ops AI evolves or legal and operational requirements change. The effective date will be updated when material changes are published.
